Privacy Policy

WorkTable ("WorkTable," "we," "us") is a voice-first to-do app. This Privacy Policy explains what information we collect when you use our mobile app and website, how we use it, who we share it with, and the choices you have. By using WorkTable you agree to this policy.

Information we collect

We collect only what we need to run the app for you:

• Account information — your email address (used to sign you in with a one-time code) and, if you choose Google sign-in, your name, email, and profile picture from Google.
• Your content — the tasks, subtasks, notes, dates, reminders, and repeat settings you create. This is your data; we store it so it syncs across your devices.
• Voice and audio — when you use voice mode, your microphone audio is streamed and transcribed in real time so the assistant can act on what you say. See "Voice data" below.
• Device and usage data — your device timezone (so reminders and dates resolve correctly) and product-analytics events (for example, signing in, creating a task, starting a voice session) that help us understand how the app is used.

How we use your information

• To provide and sync the app and your tasks across your devices.
• To power voice mode — transcribing your speech and creating, editing, or completing your tasks.
• To send you the sign-in codes and reminders you ask for.
• To understand usage, fix bugs, and improve the product.
• To keep the service secure and prevent abuse.

We do not sell your personal information, and we do not use your tasks or voice content to advertise to you.

Voice data

Voice mode only listens while you are in a live voice session — your microphone is never recorded in the background. Audio is processed in real time to transcribe your words and carry out your request, then the session ends. We retain the resulting tasks you create (the same as if you typed them); we do not keep long-term recordings of your audio to build a profile of you.

Service providers

We share information with trusted providers strictly to operate WorkTable. They process data on our behalf under their own security and privacy obligations:

• LiveKit — real-time voice infrastructure and the voice assistant.
• Speech and AI providers — speech-to-text, language model, and text-to-speech used to understand and respond to your voice.
• PowerSync — syncing your tasks between your device and our database.
• Resend — sending sign-in and notification emails.
• Google — optional Google sign-in.
• Mixpanel and PostHog — product analytics.
• DigitalOcean — application hosting and database.

We may also disclose information if required by law, to protect our rights, or in connection with a business transfer.

Data retention

We keep your account and content for as long as your account is active. When you delete a task it is removed from your account; when you delete your account we delete your personal data within a reasonable period, except where we must keep it to meet legal obligations.

Security

We protect your data with industry-standard measures: encrypted connections, hashed credentials, scoped access so you only ever see your own data, and short-lived access tokens. No system is perfectly secure, but we work to keep your information safe.

Your rights and choices

• Access, correct, or export the tasks in your account.
• Delete individual tasks, or your whole account, from the app.
• Turn voice mode off at any time and revoke microphone permission in your device settings.
• Depending on where you live, you may have additional rights (such as under the GDPR or CCPA) to access, delete, or object to processing. Contact us to exercise them.

International transfers

We and our providers may process your information in the United States and other countries. Where required, we rely on appropriate safeguards for these transfers.

Children

WorkTable is not directed to children under 13 (or the minimum age in your country), and we do not knowingly collect their personal information.

Changes to this policy

We may update this policy from time to time. We will revise the "Last updated" date above and, for material changes, notify you in the app or by email.
